Administrative Assistant

About the role

We are looking for an organised, efficient, friendly, well presented Administrative Assistant to support the daily operations of our mental health business. The successful candidate will play a crucial role in ensuring the smooth functioning of our clinics, assisting our mental health clinicians, and providing outstanding service to our clients. This position requires excellent communication skills, understanding of privacy concerns, and a commitment to creating a welcoming and supportive environment for our clients and clinicians.

Key Responsibilities:

  • Manage front desk duties, including greeting clients, answering phones, and scheduling appointments and taking payments.
  • Provide administrative support to mental health clinicians, including managing calendars, preparing reports, and handling correspondence.
  • Maintain client records with utmost confidentiality, ensuring compliance with privacy regulations and clinic policies.
  • Coordinate with external providers and stakeholders, ensuring effective communication and collaboration.
  • Maintain office supplies inventory and ensure the clinic environment is organised and welcoming.
  • Creating a great office playlist is also welcome!

Qualifications:

  • Proven experience as an administrative assistant or in a similar administrative role.
  • Strong organisational skills with the ability to multitask and manage priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills, with a focus on customer service.
  • Proficiency in Microsoft Office Suite and experience with electronic medical records systems.
  • A high level of discretion and professionalism, with experience handling confidential information.
  • Certificate or diploma in business administration, healthcare administration, or related field preferred.
